Information Collected During Platform Use

• Audio processed in real time during live calls to generate AI-powered guidance — this audio is processed transiently and is not stored as recordings unless you explicitly enable post-call review features
• Transcription data generated from live call audio to power real-time suggestions
• Objection patterns, prospect responses, and call interaction data used to build and refine your personal Playbook over time
• Usage data including features accessed, session duration, and platform interactions
• Device information including browser type, operating system, and IP address

Information from Third Parties

• CRM data you choose to connect to CloseSignal, such as HubSpot contact records, accessed only with your explicit authorization
• Calling platform data from Zoom, Google Meet, Microsoft Teams, or VoIP systems you connect to our service

4. Audio and Call Data

Because CloseSignal listens to live sales calls to provide real-time guidance, we want to be especially transparent about how call-related data is handled.

Real-Time Processing

Audio from your calls is processed in real time by our AI systems to generate guidance. This processing happens transiently — audio is streamed for analysis and guidance generation, not stored as raw audio recordings by default.

Transcription and Interaction Data

Transcription data and structured interaction logs (objections detected, guidance provided, outcomes) may be retained as part of your Playbook to enable the compounding system that improves your co-pilot over time. This data is tied to your account and is not shared with other users or third parties.

Post-Call Review

If post-call review features are enabled, relevant call summaries and interaction logs are stored securely and accessible only to you within your account.

Prospect Privacy

You are responsible for ensuring that your use of CloseSignal complies with applicable call recording and monitoring laws in your jurisdiction, including obtaining any required consent from call participants. CloseSignal operates as a tool visible only to you — prospects are not informed of its use by the platform itself. It is your responsibility to comply with all applicable laws.

5. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

Service Providers

Your Playbook data — the personalized AI system built around your specific business — is permanently deleted upon account closure. This data is yours. If you cancel, you lose access to it. We do not retain it to benefit other users or our general product.
